Ask a Wedding Planner: How Much Help Do I Really Need on My Wedding Day?

Welcome to our new “Ask a Wedding Planner” series, where we answer the questions couples are thinking about throughout the wedding planning process but don't always know who to ask.


For our first question, we're tackling one we hear all the time:


“Do I really need a wedding planner or coordinator? I already have a venue coordinator, and I don't want to spend money on something I may not need.”

The short answer? It depends on what you want your wedding day to feel like.

First, let's clear up the difference.


A venue coordinator and a wedding planner aren't necessarily doing the same job.


Your venue coordinator is focused on everything related to the venue. That can include things like making sure the space is set up properly, coordinating the venue's staff and vendors, managing the timeline as it relates to the venue, handling venue logistics, and making sure the property is ready for your celebration.


A wedding planner or day-of coordinator, on the other hand, is typically focused on the wedding as a whole. They may help manage your overall timeline, communicate with all of your vendors, oversee details that happen outside of the venue, and help make sure the entire day runs according to plan.


So, do you need both?


Ask yourself how involved you want to be on your wedding day.


Here's the bigger question:

Do you want to be the person solving problems—or the person getting married?


If the answer is the second one, having someone else manage the logistics can make a huge difference.

Think about your wedding morning. You don't want to be answering texts from the florist about where to unload. You don't want your mom trying to figure out where the DJ should set up. And you definitely don't want your bridal party tracking down missing décor five minutes before you're supposed to walk down the aisle.


Your wedding day should be about experiencing the day, not managing it.


What if your venue already provides coordination?


This is where couples should look closely at what their venue actually includes.


Some venues provide a venue manager whose primary responsibility is the property and venue operations. Others offer more comprehensive coordination services that can take a much larger role in your wedding day.

When should you consider hiring a separate wedding planner?


A full-service wedding planner may be worth considering if you:

  • Want help designing and planning your wedding from the beginning

  • Have a large or complicated guest list

  • Are hosting events at multiple locations

  • Have a particularly detailed or complex vision

  • Don't have much time to dedicate to planning

  • Want someone to handle vendor communication throughout the entire planning process

  • Simply know that planning isn't something you enjoy


And that's okay!

There is absolutely nothing wrong with wanting someone else to handle the details.


But here's our biggest piece of advice...

Don't assume you need a planner just because someone else told you that you do.

Before hiring anyone, ask your venue exactly what coordination is included in your package.

Ask:

Who creates the timeline?

Who communicates with my vendors?

Who helps with setup?

Who handles problems on the wedding day?

Who makes sure the ceremony starts on time?

Who is my point of contact if something goes wrong?


The answers will tell you a lot.


Your wedding team should make you feel supported, not like you're adding another project to your plate.

And ultimately, that's what we're hoping to accomplish with this series: helping couples understand what they actually need, what they don't, and where they can simplify the planning process.


Because your wedding day shouldn't feel like a project to manage.

You should actually get to enjoy it.
